Privacy & Cookie Policy

This policy explains what personal data SGI Solutions collects through this website (sgi-org.com), why we collect it, who we share it with, and the choices and rights you have. We are the data controller for the information described here.

1. Who we are

SGI Solutions is a Greater Manchester–based business that builds AI front-desk, automation and booking systems for service businesses.

2. What we collect

Information you give us. When you use the contact form, the Free Growth Check, or book a call, we collect what you type into those forms — typically your name, email address, phone or WhatsApp number, business details and the content of your message.

Information collected automatically. Our host records standard server logs (IP address, browser type, pages requested, timestamps) for security and reliability. If you consent to analytics cookies, we also receive aggregated usage statistics about how the site is used.

We do not knowingly collect special category data, and we do not ask for payment card details on this website.

3. Why we use it, and our lawful basis

  • To reply to your enquiry and provide a quote or demo — lawful basis: steps taken at your request prior to entering a contract, and our legitimate interest in responding to enquiries.
  • To run and secure the website — legitimate interest in keeping the site available and free from abuse.
  • To measure how the site is used — your consent (analytics cookies only, and only if you accept them).
  • To meet legal and accounting obligations — legal obligation.

We do not sell your data, and we do not use it for automated decision-making or profiling.

4. Cookies and similar technologies

A cookie is a small file stored on your device. This website uses two categories:

  • Strictly necessary — set to make the site work and to remember your cookie choice. These do not require consent. We store your choice in your browser's local storage under sgi_cookie_consent for up to 12 months.
  • Analytics (optional) — Google Analytics 4 (property G-JX6MDH1QFY), which sets cookies such as _ga and _ga_* to count visits and see which pages are useful. These are not loaded at all unless you press “Accept all”. If you reject, the Google Analytics script is never downloaded and no analytics cookies are set.

You can change your choice at any time using the Cookie settings link here or in the site footer, or by clearing your browser's site data. You can also block or delete cookies in your browser settings.

5. Third parties that may receive your data

We keep the number of third parties to a minimum. Those in use on this website are:

  • Netlify — website hosting and server logs.
  • FormSubmit — delivers contact-form and Growth Check submissions to our email inbox.
  • Calendly — powers the booking page at /book/; the details you enter to book a call are processed by Calendly.
  • Google (Analytics) — only if you accept analytics cookies.
  • Google Fonts — fonts are served from Google's servers, which means your IP address is visible to Google when a page loads.
  • WhatsApp / Meta — only if you choose to click a “Chat on WhatsApp” link and start a conversation with us.

Some of these providers are based outside the UK. Where data is transferred internationally, it is protected by UK adequacy regulations or by standard contractual clauses with appropriate safeguards.

6. How long we keep it

Enquiries and the correspondence that follows are kept for up to 24 months from our last contact with you, so we can pick up the conversation if you come back to us. Records needed for accounting or tax are kept for 6 years. Analytics data is retained by Google for up to 14 months. You can ask us to delete your enquiry sooner at any time.

7. How we protect it

Access to enquiry data is limited to the people who need it to respond to you. Data is held in access-controlled accounts protected by strong, unique credentials and multi-factor authentication where the provider supports it. The website is served over HTTPS.

8. Your rights

Under UK data protection law you have the right to:

  • Ask what personal data we hold about you and get a copy of it
  • Have inaccurate data corrected
  • Ask us to delete your data
  • Object to, or ask us to restrict, how we use it
  • Ask for your data in a portable format
  • Withdraw consent for analytics at any time (this does not affect anything done before you withdrew it)
