AI Receptionist in Manchester: What Local Businesses Should Look For
If you run a business in Manchester, Salford, Bolton, Stockport or anywhere across Greater Manchester, you've probably seen more and more offers for AI receptionists and automated front desks. Some are genuinely useful. Others are a monthly subscription for a tool that doesn't fit how you work.
This guide is for owners deciding whether to get one, and how to choose. It doesn't assume you want ours. It sets out what to check, whoever you end up speaking to.
First, work out what you actually need
"AI receptionist" can mean several different things:
- Instant replies and enquiry capture for messages, forms and WhatsApp
- Online booking so customers can book without phone tag
- A lead tracker so you can see every enquiry and what happened to it
- AI phone answering, where a voice assistant answers calls, takes details and in some set-ups books a slot
Many local businesses only need the first three. Phone answering is the most complex of the four and suits businesses where most enquiries come by call. Be clear about which you're buying, because prices and set-up effort differ a lot.
What to check before you choose
1. Do you own it?
Ask whether the system is built in your own accounts (your Google, your WhatsApp, your booking tool) or on the provider's platform. If you stop paying a platform subscription, you can lose everything. If it's built in your accounts, it keeps working. For more, see why client-owned accounts matter.
2. How is it priced?
Ask for the full picture: set-up cost, monthly fees, any per-message or per-call charges, and what renews automatically. Our cost comparison has a simple worksheet for comparing options.
3. What does it not do?
A good provider will tell you plainly what the system can't handle and how it hands over to a human. Be wary of anyone promising it will "run your business" or guarantee more customers. Nobody can promise that.
4. Is it compliant?
Ask whether they'll sign a data processing agreement, where data is stored, and who can access it. If they use WhatsApp, ask whether they use only WhatsApp's official tools. Unofficial tools can get your number banned.
5. Who do you talk to when something goes wrong?
For a local business, being able to speak to a real person who knows your set-up is worth a lot. Ask what support is included, how you reach them, and whether support is optional or compulsory.
6. Can you see it working before it goes live?
You should be walked through every route an enquiry can take, tested, before it goes live. If a provider can't demonstrate how it works, be cautious.
Does being local matter?
It can help in a few ways, though it isn't essential:
- Understanding your market. A provider who works with businesses across Greater Manchester knows the mix of trades, salons, clinics and security and facilities firms here.
- Easy conversations. Phone or in person, in plain English.
- Accountability. A local business with a name and a face is easier to hold to account than a faceless platform.
None of that replaces the checks above. A local provider with a poor product is still a poor choice.
Don't overlook the basics
Before you spend anything on automation, check that the basics are in place:
- Your Google Business Profile is complete and has the same name, address and phone number as your website
- Your website says clearly what you do, where you work and how to contact you
- Someone is responsible for enquiries each day
Automation works best on top of a clear process. It doesn't fix a confusing one.
