An AI front desk is a set of connected tools that handles the first contact with your customers. It does the work a receptionist or office admin would do at the start of the process:

How does it work?

A typical build follows these steps:

  1. A short call. We find out how enquiries reach you today, what you lose, and what you'd like to happen instead.
  2. Access and details. You give us access to your own accounts (we ask for invited access, not your passwords) and the information we need, such as your services, opening hours and the questions customers usually ask.
  3. The build. We set up your form, messages, tracker, booking link and automations. This typically takes around a week once we have what we need.
  4. Testing. We run through every route an enquiry can take, so you see it working before it goes live.
  5. Handover. We walk you through everything and remove our access if you want us to.

Why "built in your own accounts" matters

What an AI front desk can and can't do

Being straight about the limits is important:

It can: reply quickly, capture details consistently, book appointments, organise leads and remind you who needs a follow-up.

It can't: guarantee more customers, replace your judgement, or handle every unusual question. Enquiries that need a human still need a human. A good set-up is designed to hand those over to you quickly rather than pretend to handle them.

We also only use WhatsApp's official Business tools or its official API through a provider. We never use unofficial tools that break WhatsApp's rules, because they can get your number banned.

What about AI phone answering?

Some businesses also want calls answered by an AI voice assistant that can take a message or book a slot. This is a separate add-on that can sit alongside the front desk.
