How a Done-for-You AI Front Desk Build Works (and Why You Keep Ownership)

"Done for you" can mean very different things. For some providers it means handing you a login and a manual. For others it means they build the system, and you own it. If you're thinking of getting an AI front desk built, it helps to know what the process involves, what you'll need to provide, and what you're left with at the end.

This guide walks through how we do it at SGI Solutions. The details will differ between providers, so use it as a checklist for any conversation you have.

Before the build: a short call

The first step is a conversation, usually around half an hour. The aim is to understand:

  • How enquiries reach you today: phone, WhatsApp, email, forms, Google Business Profile
  • Where they go missing, and roughly how often
  • What a good outcome looks like for you
  • Which tools you already use, such as a calendar, booking tool or spreadsheet

It also works as a filter in both directions. If you get a handful of enquiries a month and already reply to all of them quickly, we'll say so. A simple website and Google Business Profile may serve you better.

What you need to provide

To build the system, we'll need:

  • Your business details: services, areas covered, opening hours and how you handle quotes or bookings
  • Your usual answers: the questions customers ask most, and how you'd like them answered
  • Access to your own accounts: this is invited access, so we never ask for your passwords. Typically that means your Google account, your WhatsApp Business account and your booking tool
  • A little of your time: to check the wording and confirm how you'd like things handled

Most of the delay in any build comes from waiting for information or access, so having these ready makes things quicker.

The build

Once we have what we need, we set up the parts you agreed on. Depending on the package, that can include:

  • An enquiry form that collects the details you need
  • WhatsApp Business greeting, away and quick-reply messages
  • Instant auto-replies, so people know you've received their enquiry
  • A lead tracker, so every enquiry is logged in one place
  • An online booking link
  • A short daily summary of what came in

A build like this typically takes around a week once we have access and the details. More complex set-ups, such as multi-step automations, review requests or AI phone answering, take longer.

Testing

Before anything goes live, we run through every route an enquiry can take: a form submission, a WhatsApp message, a booking, an out-of-hours enquiry. You see each one working. We'd rather find a problem during testing than have a customer find it.

Handover

At the end, we walk you through how everything works and how to change it, such as editing a quick reply or updating your opening hours. If you want us to, we remove our access to your accounts at this point.

Why you keep ownership

Everything is built inside your own accounts: your Google, your WhatsApp Business, your booking tool. That has some practical consequences:

  • If you stop working with us, the system keeps working. It isn't a subscription to our platform.
  • Your customer data stays in accounts you control. Not on our servers.
  • You can remove our access at any time.
  • You can see what you're paying for. Any tool subscriptions go to the provider directly.

What happens after

Support is optional. Some clients are happy to take over after handover. Others prefer a small monthly plan covering monitoring, minor changes and a short report. Because the system lives in your accounts, you're free to choose, and to change your mind later.

What it can't do

It's worth being clear about the limits. An AI front desk can reply quickly, capture details, book appointments and keep a lead list. It can't guarantee more customers, replace your judgement or handle every unusual question. Anything that needs a human is designed to reach you quickly.
