Connected operations workspace

One workspace where sales, people, clients and management share the same records.

The challenge

Small teams run sales in one tool, quotes in another, leave in a spreadsheet and invoices somewhere else. Details get re-typed, and nobody has a single view of what needs doing today.

The solution

A single web workspace that connects sales, people, client delivery and management through shared records. Each person lands on a Today view of due work, approvals and exceptions, and sees only what their role allows.

Quotes, invoices, time, leave and expenses sit alongside the sales pipeline, so nothing is re-typed between systems.

What it does

  • Role-based views: own work, team work, authorised oversight
  • Sales pipeline, quotes and follow-ups in one place
  • Onboarding and delivery tracked against the same client record
  • Reports, payments and controls for management

How it works

  1. Add a prospectOne guided action creates the company, contact and deal together, after checking for duplicates by name, email and website domain.
  2. Log activityCalls, emails and next actions are recorded against the deal, so follow-ups are never lost.
  3. Prepare a quoteQuotes are built and sent from the same record. Sending one moves the deal to the proposal stage.
  4. Confirm the saleThe director confirms the sale, which marks it won and creates the delivery project.
  5. Onboard the clientA checklist is created automatically: scope, contacts, business information, access and kickoff date.
  6. Deliver and reviewDelivery, payments and reports sit under management, using the same client record from first contact onwards.

Design decisions

Today is the homepage

Everyone lands on due work, approvals and exceptions, instead of having to hunt through menus.

Warn, do not block

Starting a build with onboarding items outstanding requires a written reason that is audited, instead of stopping the team.

Roles shape the view

People see their own work, permitted team activity, or authorised oversight. Access follows role and record ownership.

Changes leave a trail

Approvals, stage changes and sale confirmations are written to an audit log, and key steps run as single transactions.
